- Payment and transaction information. Card or bank details may be processed by our payment providers; we do not need to store full card details ourselves.

- Customer-service and dispute information, including complaints, inspection records, evidence and correspondence.
- Marketing preferences and records of consent or opt-out choices.
3. How we obtain information:
We may receive information directly from you through our website, telephone, email, WhatsApp, quotation or booking forms, site visits and payment processes. We may also receive enquiry information from lead-generation or marketplace platforms through which you contact us, and from a person acting for you, such as a landlord, tenant, agent or property manager. Where information comes from another source, we use it only for appropriate business purposes and provide privacy information where required.
4. Why we use personal information and our lawful bases:
Enquiries, quotations and bookings
To respond to requests, prepare quotations, arrange viewings and administer bookings. We generally rely on steps taken at your request before entering a contract and/or performance of a contract.
Service delivery
To allocate decorators, communicate access instructions, document the project, manage variations and complete the agreed service. We generally rely on performance of a contract and legitimate interests in operating and evidencing our services.
Payments, accounting and legal compliance
To issue invoices, reconcile payments, maintain business records and meet tax, accounting and other legal obligations. We rely on contract and legal obligations, and where appropriate legitimate interests.
Quality assurance, complaints and legal claims
To investigate concerns, retain appropriate project evidence, prevent fraud and establish, exercise or defend legal claims. We generally rely on legitimate interests and, where applicable, legal obligations.
Marketing
To send marketing where permitted by law. Where consent is required, we rely on consent. You can opt out at any time.
Website operation and analytics
To secure and operate our website and, with the required consent, understand website usage or measure marketing performance. Strictly necessary technologies are used where required for the service; non-essential cookies or similar technologies are handled in accordance with our Cookie Policy.
5. AI-assisted and messaging communications
We may use software, including AI-assisted tools, to help route, draft or respond to customer enquiries on channels such as website chat or WhatsApp. These tools support customer service; important booking, contractual, complaint and payment matters may be reviewed or handled by our team. We do not state that automated tools make decisions producing legal or similarly significant effects about customers unless we specifically notify you otherwise.
6. Who we may share information with
- Decorators, contractors and authorised personnel who need relevant information to deliver or supervise your service.
- Payment processors, banking providers and invoicing/accounting service providers.
- Website hosting, communications, customer-management, IT, security and cloud-service providers.
- Lead-generation, marketplace or booking platforms where your enquiry originated or where necessary to administer that enquiry.
- Professional advisers, insurers, regulators, law-enforcement bodies, courts or other parties where disclosure is legally required or reasonably necessary to protect legal rights.
- A purchaser, investor or successor organisation in connection with a genuine corporate transaction, subject to appropriate safeguards.
7. International transfers
Some technology or service providers may process information outside the UK. Where UK data-protection law requires safeguards for an international transfer, we will use an applicable lawful transfer mechanism or rely on another permitted basis. You may contact us for further information about relevant safeguards.
8. How long we keep information:
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, tax, accounting, insurance and dispute-resolution requirements. Customer contracts, invoices and core project records may normally be retained for up to six years where appropriate. Enquiry-only records may be kept for a shorter period. Marketing records are retained until you opt out or until they are no longer needed, while suppression records may be kept to respect an opt-out. Actual periods may vary where a dispute, legal requirement or legitimate operational need justifies a different period.
9. Your data-protection rights
Depending on the circumstances and lawful basis, you may have rights to access your personal data, correct inaccurate data, request erasure, restrict processing, object to processing, receive certain data in a portable format, and withdraw consent where processing is based on consent. These rights are not absolute in every case. To exercise a right, contact hello@housepaintpro.com.
10. Your right to object
You have the right to object to processing based on legitimate interests in certain circumstances. You also have an absolute right to object to the use of your personal data for direct marketing. Contact us at hello@housepaintpro.com to exercise this right.
11. Complaints
If you have a concern about our use of your personal information, please contact us first so we can investigate. You also have the right to complain to the UK Information Commissioner's Office (ICO). Current contact and complaint information is available from the ICO's official website.
12. Security
We use reasonable organisational and technical measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. No internet or electronic storage system can be guaranteed to be completely secure.
13. Changes to this policy
We may update this Privacy Policy when our services, systems or legal obligations change. The latest version should be published on our website with its effective date. Where a change materially affects how we use existing personal data, we will provide additional notice where required.
